OVERVIEW

The Creative Production Coordinator is responsible for managing shoot production and execution for all Ecommerce photo & video assets, and for supporting the Creative Production team in planning all other creative photo, video, and social shoots. This role will support shoot logistics, crew & talent, preparing call sheets, procuring agreements, and communicating shoot information & guidelines as they pertain to creative shoots. This position requires strong communication skills, a proactive self-starter mentality, and a basic understanding of creative and production processes and workflow. This position will report to the Creative Producer

RESPONSIBILITIES  

  • Facilitate and attend both studio and external (on-location) ecommerce photo and video shoots
  • Obtain holds and manage booking confirmations & contracts for talent, hair and makeup artists & support crew
  • Book locations and coordinate travel for both internal and external teams when needed
  • Develop and distribute call sheets for all creative projects
  • Ensure that all studios are clean and organized on a weekly basis, and ensure production kit supplies, and craft service items are stocked.
  • Assist producers with in-office operations for all creative shoots ie: running errands, booking travel, obtaining COIs, carnets, gathering and shipping samples for shoots, location scouting, and other administrative tasks.
  • Coordinate and oversee Production Assistants on set, and act as our go-to set PA for smaller scale productions
  • Coordinate equipment/trucking rentals, and the transport of any and all shoot related items between Alo offices/studios and offsite shoot locations
  • Maintain active relationships with hair and makeup agencies and talent agencies
  • Create and maintain relationships with external vendors that would support production and creative team needs. ie: car services, caterers, prop houses, florists, equipment rentals, film processing locations, etc.
  • Obtain and file all relevant contracts, talent releases and crew paperwork as needed
  • Manage and update a database with current, accurate contact information and rates for crew and talent, and update talent usage documents
  • Communicate all shoot details with internal and external teams as they evolve, manage changes and problem solve as issues arise
  • Handle billing and invoice processing immediately upon shoot completion, organize and manage receipts and corporate credit card expense reports, and update and maintain budgets sheets accurately

QUALIFICATIONS

  • Must have 2+ years of professional work experience at an agency, studio, production company, fashion brand
  • Knowledge of applicable computer programs including MS Office and Adobe Creative Suite
  • Must have strong workflow management, planning, and problem solving skills
  • Must be extremely organized, detail oriented, receptive to feedback, excel at time management, have the ability to organize complex information, and manage multiple projects simultaneously and under tight deadlines.
  • Must have a drivers license and be able to lift 50 lbs.

The base salary range for this position is $65,000-$70,000 per year which represents the current range for the base salary for this exempt position. Please note that actual salaries will vary based on factors including but not limited to location, experience, and performance. As such, on occasion and when applicable, there is the possibility that the final, agreed-upon base salary may be outside of the upper end of the range. Please also note the range listed is just one component of the company’s total rewards package for exempt employees. Other rewards may include performance bonuses, long term incentives, a PTO policy, and many other progressive benefits.
